Housing Newsletter, 2008-2009 (posted 3/17/2008)

We have enjoyed having you on campus this year and encourage you to think about your living situation for next year. This week our information packet regarding on-campus housing selection for the 2008-2009 academic year and summer 2008 will be distributed to Residence Life staff and Greek chapters. Please read the following information and feel free to contact a member of your Residence Life staff if you have any questions.

Timeline of Housing Selection 2008-2009

Throughout March & April Information meetings held for Residence Life staff, Greek officers and students
March 17 - April 11 Application period for 2008-2009 freshman and sophomores requesting an exemption from the residency requirement. Students will be notified of the committee's decision during finals week
April 1 - 7 Fraternity and Sorority affiliates In-House Selection
April 10 Kaneko Commons Selection (see "Kaneko Lottery" below)
April 11 - 14 In-House Selection for students who plan to remain in their current residence hall/apartment
April 16 - 17 Housing packets and lottery numbers available at Residential Services for the all campus lottery
April 17 Graduate Student Lottery: 4:15 - 4:45 pm, Residential Services All Campus Lottery: 6:00 - 10:00 pm, The Montag Den
May 30 Housing cancellation deadline. Contracts/leases canceled after this date are subject to the non-negotiable cancellation penalty ($600 for contract; $750 for apartment lease)

Kaneko Commons Lottery
Kaneko Commons has a point based lottery that is open to all undergraduate students at Willamette. One of the goals of a point based system is to provide housing preference for involvement and presence in the community rather than academic credit. A quick overview: Once your worksheet is verified you will need to come to the Kaneko Commons office (KAN 103A) on April 9, 2008 to select a lottery number. You will be drawing from a hat with all other students who have the same number of points as you. That number will then determine the order in which you are able to select housing for the 2008-2009 academic year. This process has a few additional steps and we have tried to make it as user friendly as possible. If you wish to participate, please be sure that you read through all information and timelines provided. Mixed Gender / Gender Neutral Housing Options
The following options are available for co-ed living: 4 bedroom apartments in the Kaneko Commons, 2 bedroom apartments in Kaneko Commons and Haseldorf, 3 person suites and shared singles in the Kaneko Commons.

This fall, a gender neutral housing pilot program will offer same-gender, opposite-gender or other-gender identities to live together regardless of their biological sex. This pilot program is in no way intended to allow cohabitation (romantic involvement). Individuals interested in a gender neutral housing assignment should contact Residential Services for an application. All gender neutral roommate assignments are made by the Area/Commons Coordinators.

Doubles as Singles
We will continue to offer double rooms as singles next year for juniors and seniors. There are a limited number, so be sure to sign up early if you want one!

Residency Requirement
All freshmen and sophomores are required to live on campus unless they are married, over 21, or living with parent(s) within a commutable distance of 25 miles or less. Students must have completed 15.00 credits at the end of spring semester to be considered a junior.

Freshmen and sophomores who do not meet these criteria and who would like to live off campus next fall need to pick up an application for a waiver of the residency requirement in Residential Services. It needs to be returned with all supporting documentation by April 11, 2008. Exceptions are granted by the Residency Waiver Committee only in extreme circumstances. Committee decisions will be made during finals week.

All freshmen and sophomores, regardless of whether they are requesting to live off campus will need to participate in the housing selection process for 2008-2009. Anyone who is required to live on campus and fails to complete the housing registration process will be assigned to a space after the housing registration process is complete and referred to the campus conduct office.

Housing Selection

Housing Selection for 2008-2009 is a three part process. Students may only participate in one part.

Part 1: Greek In-House (April 1-7)
All Greek affiliates who will be living in their chapter houses next year sign up for a room between April 1-7 by submitting a signed contract and preference card to the officer in charge of housing. Greek affiliates are eligible to sign-up for a residence hall/apartment on campus after their house is full and they have signed their chapter's waiting list. Greek affiliates assigned to residence halls/apartments will be reassigned to their chapter if/when a space occurs in the house.

Part 2: Kaneko Commons Selection (4/10) & Residence Hall/Apartment In-House (April 11-14)
All students interested in moving into the Kaneko Commons will participate in the Kaneko Commons Selection on 4/10. For more information on the Commons selection process, visit www.willamette.edu/dept/resservices/information/lottery/Kaneko_Lottery_Worksheet2008. Students who plan to stay in the same residence hall/apartment next year participate in an in-house selection process between 4/11-4/14. Meetings will be held by your Residence Life staff member to explain the process in more detail. If you are joining a mutual roommate in their current building, you participate in their in-house selection process together. During your in-house night, you will select a space and return your signed contract and preference card to the staff member in charge.

Part 3: All Campus Lottery (April 17)
All students interested in moving into a different residence hall/apartment next year will participate in the all campus lottery on 4/17. To participate in the lottery, pick up a housing registration packet and draw a number at Residential Services on 4/16 and 4/17. Graduate student selection is held at Residential Services from 4:15-4:45 pm. Undergraduate selection is held in the Montag Den from 6:00-10:00 pm. Bring your signed contract and preference card to the lottery according to the time assigned to the number you draw.

During the housing selection process:

  • Students who wish to be roommates much mutually request each other when they turn in their housing materials.
  • Triple rooms are only assigned to three mutually requested roommates during housing selection.
  • Students who sign up for a triple are moved to a double room if a roommate cancels.
  • A percentage of rooms are reserved in the residence halls for incoming students prior to the lottery. This is done to insure that all classes are represented in each residence hall.
  • All TIUA students must have a mutual roommate request with a WU student to sign up for a room/apartment. If a TIUA student does not have a mutual request with a Willamette student, they will be assigned with the 2008 incoming class this summer.

2008 - 2009 Rates for Room and Meal Plan
All students under contract are required to participate in a meal plan.
All single rooms will cost an additional $750-$950, depending on the location.

Apartment Options
Annual lease rates include a partially furnished apartment and utilities (except telephone at Haseldorf). The rent listed below will be equally divided by the actual number of occupants. Each resident is responsible for paying a $150 cleaning deposit (see lease) that is refunded if the apartment meets all cleaning specifications at check-out. No partial refunds will be given.

The Apartment Lease differs significantly from the Residence Hall Room and Meal Plan Contract. Assignment to multiple occupancy apartments is by mutual request only. Each student is collectively responsible for the full payment of the rent. If, at any point during the term of the lease, a resident cancels their lease for any reason, the remaining resident(s) is responsible for either finding a new apartment mate or moving. The only exception to this is for apartment mates who cancel or move off campus during the term of the lease. This student is responsible for their portion of the rent until the university leases the apartment to an approved Willamette student. Apartment occupancy is for the entire term of the lease. Annual lease rates include a partially furnished apartment and utilities (except telephone at Haseldorf). Each resident is responsible for paying a $150 cleaning deposit which is refunded if the apartment meets all cleaning specification at check-out. No partial refund will be given. Haseldorf, Kaneko Commons and UAP residents sign an eligibility statement declaring they are in good academic and disciplinary status with the University.

Graduate Students
All Graduate students interested in an apartment at UAP or Haseldorf can come to Residential Services on Thursday, April 17th from 4:15 - 4:45 pm. This will be on a first come, first serve basis.

Apartment Lease/Off Campus Meal Plans
Students living in campus apartments or off campus may purchase any of the Willamette Meal Plans by contacting Residential Services for a contract.

Summer Housing
Haseldorf and the University Apartments are open this summer from 5/16 - 8/13. Summer leases are available at Residential Services.

Assignment Confirmation/Cancellation
A housing confirmation email will be sent out the first week of May from Residential Services. This is the time to make sure everything you signed up for is correct. The contract/lease is for the entire academic year. The grace period to cancel without penalty ends 5/30/08 at 4:30 pm. Qualifying students who cancel their contract/lease after the published deadline are assessed the non-negotiable cancellation fee ($600 for contract; $750 for apartment lease).

Personal Property Insurance
Willamette University is not responsible for the loss or damage of personal property and advises all students to cover their belongings under their own insurance.
