Your Guide to Important Closing Information

As the Year Ends…

We want to thank all of you for being part of a very successful year on campus. We would also like to ask your help in making this closing successful. The Summer Conference program (which helps to keep your room and meal costs down) starts shortly after you move out. Please follow the check-out instructions carefully to save yourself stress, and avoid unwanted charges. If you have any questions, feel free to ask a Residence Life staff member for help!

Closing Check List

  • Clean and vacuum your room/suite/apartment. Look for the cleaning poster for tips on cleaning private bathrooms and apartment kitchens.
  • Pack and make arrangements to store belongings you are leaving in Salem before the closing deadline.
  • Return all room/suite/apartment items to their original place/condition.
  • Give the Mail Center your summer address.
  • Schedule a check-out time with your Residence Life staff member.
  • Take your trash out to the dumpster.
  • Check-out with your Residence Life staff member.
  • Return your keys to your Residence Life staff member.

Living Organizations Close Thursday, May 14th for Undergraduates

For the benefit of students who are still studying for finals or writing papers, the housing contract/lease requires that students who finish early move out of their rooms/suites/apartments no later than 24 hours after their last final. Residences close for undergraduates at noon on Thursday, May 14th. TIUA students move to Kaneko on Saturday, May 16th at 1:30 pm (TIUA students will receive a detailed moving schedule). Graduate student check-out is 5 pm the day after their last final. Registered Commencement participants check out by noon, Monday, May 18th. Students unable to check-out by the published date can apply for a contract/lease addendum at the Office of Residence Life (503-370-6212). The cost is $30/night for an extension.

Check-Out Procedures

The inventory procedure is designed to keep an accurate record of the condition of each room/suite/apartment and is for the protection of the occupant(s). It is your responsibility to:

  • Schedule a check-out time with your Residence Life staff member.
  • Give your key to your Residence Life staff member when checking out.
  • Sign your inventory card and note any charges listed.

If you do not schedule a check-out appointment, you waive your right to be present when your room/suite/apartment is checked for damages/cleanliness. If damages, dirty room/suite/apartment or missing items are noted, your Residence Life staff member will also fill out an End-of-Year Charge Form. Statements of charges sent out by the Business Office during the summer are not itemized. Questions about any charges should be discussed with your Residence Life staff member before leaving campus. Inventory check-out bills are finalized once a room/suite/apartment is completely vacant.

Failure to check-out with your Residence Life staff member by the closing deadline will result in a $25 fine. You are responsible for returning your room/suite/apartment to its original state. A charge will be assessed for any damages, dirty room/suite/apartment, dirty or missing furniture or phone. If it cannot be determined who is responsible for the charge(s), the cost will be split equally among the occupants. Extra common area cleaning, missing common area furniture and common area damages are the responsibility of all residents assigned to the living organization. A price list of damage charges is available from a Residence Life staff member.

UAP/Haseldorf Residents: Cleaning deposits will be returned by June 26th if your apartment is left completely clean. No partial refunds will be made.

Storage

Limited storage space is available in some residences for students who are returning to campus next fall and it not guaranteed. You may store personal belongings in designated storage rooms only. Belongings are stored at your own risk. The University will not replace or repair items lost or damaged regardless of the cause. All items put in storage are to be labeled with your name and the date stored. Staff members will be distributing storage labels. Items left over one year from date stored, will be subject to donation. If you are leaving your bike over the summer don't forget to lock and label it, too. Unlabeled bikes will be donated. Please remember that the residences/chapter houses will not be open during the summer to retrieve stored belongings. Be sure to take everything you'll need over the summer.

Cleaning Responsibilities/Trash/Recycling

Rooms/suites/apartments, bathrooms and common areas are to be left clean. A minimum $20 cleaning fee will be assessed to each roommate if it is necessary for your housekeeper to clean your room, or if extra cleaning is needed in the hallway or bathroom. Clean the closets, floor, ceiling, walls, furniture and phone. Apartment residents: clean your kitchen and bathroom as well. Remove all personal belongings from your room/apartment and common area. Personal belongings left behind will be discarded or donated on May 13th. Take trash and recycling to the outside collection areas. Extra trash dumpsters will be on campus (at Kaneko Commons, in front of Sigma Chi, between Doney/Lausanne, behind DG/Shepard). Some extra dumpsters will also be available on Monday, 5/18 for Commencement participants. Staff will distribute extra trash bags.

Donations

Look for posters in your residence detailing local agencies willing to accept donated goods.

Keys

Your room/apartment key is to be returned to your Residence Life staff member when you check out. For the security of the next resident, failure to return your key will result in a $65 charge to recore the lock and issue new keys.

Phones

The phones installed in residences are University property. All wall phones are to be left in the room. A $50 replacement charge will be assessed to the occupant(s) if the wall phone is missing or damaged. A $10 fee will be assessed if the wall phone needs to be cleaned. This is a reminder that, if you checked out a desk phone from WITS, it is your responsibility to return it by Thursday, May 14th. Haseldorf residents: remember to call Qwest to disconnect your phone.

Maintenance Charges

Maintenance charges are assessed at the rate of $20/hour plus materials. For a list of common charges and the cost of estimates, please contact a Residence Life staff member.

Food Service

Meal Plan point balances must be used by the last board meal which is lunch, Wednesday, May 7th as they are non-refundable. On Saturday (5/9) Goudy will be open at 7:30 AM for students to purchase coffee and muffins with their Meal Plan points before going to their finals at 8 AM. Brunch and dinner will be served at the regular times.

Study Hours

During CLA Study Days and Finals, quiet hours in the residences will be 23 hrs/day with a "relief hour" from 6-7 PM. Campus Courtesy Hours will be 24 hours/day. Study Breaks are the only scheduled activities.

Letting Loose

We would like to remind you to be considerate of where, when, and how you decide to "let loose" during the next couple of weeks. Please remember that your neighbors may still be studying for finals and will not appreciate a primal scream or a stereo at full blast. To insure that all students' rights are respected, staff will be enforcing University policies until the last student checks out.
