Your Guide to Semester Closing Information

Thanks for being with us this semester! Included is helpful information about closing. Students will be held accountable for leaving their rooms/halls/apartments in order and closing the buildings safety. We hope that your living experience has been enjoyable and productive. These next few weeks are a busy time of the year. It is important that you pay close attention to the information provided below. Good luck on your finals and have a peaceful semester break.

Quiet Hours, Study Days and Finals

Quiet Hours will begin on Friday, December 9th. A relief hour will occur every day from 6 pm to 7 pm. During that time residents must still abide by the Courtesy Hours policy. No events or activities other than study breaks are to occur during this period.

  • CLA Study Days are December 10, 11, and 14.
  • CLA finals end on Saturday, December 17.
  • Law finals are November 28- December 9.
  • AGSM finals are December 13-16.

Food Service

The last meal served at Goudy will be brunch on Saturday, December 17. The first meal served spring semester will be dinner on Sunday, January 15. If you would like to change your meal plan for Spring Semester, you can come to Residential Services (12/1/11 - 1/20/12) in the Service Center, email housing@willamette.edu, or go to "Meal Plan Change Request for Spring 2012" on your Jason account.

Food Service Notices for Finals Week:
The Midnight Breakfast will be held at Goudy Commons from 10:00 pm to 12:00 midnight on Sunday, December 11th.

As is customary for the Friday of finals week, a special board plan dinner will be served at the Kaneko Café on December 16th, for the students who are here for Saturday finals.  Dinner will start at 4:30pm and end at 7:00pm.  Goudy will not be open on the 16th for the board meal.

On Saturday, December 17th, Goudy Commons will open at 6:00 am for breakfast to accommodate those students who may have an early final that day.

Bishop Wellness Center

Bishop Wellness Center closes on Friday, December 16, and reopens on Monday, January 16. Please pick up any medications you have at Bishop before leaving.

Parking

The Parking Regulations will be modified during finals week to allow for loading items into vehicles as students leave for semester break. Parking in otherwise restricted areas will be allowed for a MAXIMUM OF 15 MINUTES for the purpose of loading. Under no circumstances is driving or parking on the grass or other landscaped areas permitted. If you have questions, call Campus Safety at 503-370-6911.

Checking out.......Keys

If you are moving or not returning next semester, make an appointment with your RA/CM/URep to inventory your room/apartment and turn in your key by noon, 12/18/11. For your protection it is important for you to sign your completed Inventory Card, noting if any charges are being assessed for damages. Failure to check out with your RA/CM/URep will result in a $25 fine.

You are responsible for cleaning your room/apartment for the next occupant.  This includes, cleaning, vacuuming, removing all trash to the dumpster outside, returning all items to their original place/condition, making a check-out appointment with your Residence Life staff member, returning your key at check-out, giving the Mail Center a forwarding address (if you are leaving the University). Failure to follow cleaning instructions will result in a cleaning fee or loss of your cleaning deposit in the apartments. If you are moving to another room/apartment on campus, make an appointment with your new staff member to be checked into your new room/apartment if it is empty before you leave and stop by Residential Services in the Service Center to check out your new key (Monday-Friday, 8-5). Card access will be turned on for your new building on January 14.

If you move/leave WU at semester and do not return your key, you will be charged $75 to change the lock for the security of the next resident. The Service Center will be open Saturday, January 14 and Sunday, January 15 from 12 noon - 5 pm to issue new keys to students who did not check them out in December.

Holiday Decorations

Live decorations such as trees, holly and wreaths are not allowed in student rooms. The use of candles is not allowed. Electrical cords and light cords cannot be stapled up, run under doors, across hallways or anywhere they can be pinched, broken, and shorted out. Only use approved power strips. We recommend small fire safe artificial trees, ornaments, and door decorations. Please remove all decorations from your room/residence/apartment before you leave for semester break. Housekeepers are not responsible for removing decorations from common areas. Those that are not taken down and properly disposed of will be removed and the student or residence responsible will be charged for the service.

ASP Departure

ASP students leave Saturday, December 17. Staff will inventory your room on Friday, December 16. Return your key per the instructions from TIUA. We have enjoyed having you as a part of the Willamette community. Best wishes as you continue your studies at TIU.

Community Meetings

Residences will have a meeting covering the procedures you will need to follow before you leave for semester break. Please make sure you attend this meeting. Check with your Residence Life staff for the date, time and location.

Residences Close Sunday, 12/18/2011 at noon

Campus residence halls and Greek houses close at noon, Sunday, December 18. Please make arrangements to be out of your residence by this time. Campus residences are closed from noon 12/18/11 until noon 1/14/12. Please take everything that you will need (i.e., medicine, credit cards, skis, holiday gifts, plane ticket, etc.) with you. Since the heat will be turned down during the vacation, please make arrangements for plants and fish off campus.

Apartments

Haseldorf, University Apartments and Kaneko Apartments do not close over semester break. If you are graduating at semester, moving off campus or leaving Willamette, however, your check out deadline with your RA/CM is noon Sunday, December 18.

If you leave for any period of time, follow the same procedures listed for the residence halls, but please do not defrost your refrigerator over break.

Extra Trash

Garbage bags will be distributed by RA's/CM's/UReps for students to take trash out of their room/apartment before break. It is your responsibility to take your trash and decorations out to the dumpsters. If a University staff member has to dispose of trash, the hall and its residents are subject to charges.

Safety & Security

Before you leave, remove all food from your room and your refrigerator, unplug electrical appliances (i.e., refrigerator (except in apartments), clock, game system, TV, blankets, etc.), defrost and leave your refrigerator door open (do not leave your refrigerator in the bathroom to defrost or it will be disposed of as abandoned property), close your blinds, and lock the windows and door. If you have a multi-bulb lamp with plastic or fabric shades in your room, please take it home with you. These lights are not allowed on campus as they are known to overheat and may cause a fire.

If you are returning to the same room, you may leave your belongings there.

If you have requested a room change at semester that has been approved by your Area Coordinator, you are responsible for moving to your new room before you leave (or for packing and storing your belongings if your new space is not empty when you leave).

If you are moving from a residence hall to a University-owned apartment, you are responsible for checking-out of your room and storing your belongings. Apartments open for new spring semester occupants at noon on January 14. Your new key/ID wil be available for you in the Service Center.

If you brought a bike to campus, please make sure that it is inside of your residence and secured during the break. The University assumes no liability for personal property at any time!

Staff Work During Break

Please note that University staff members will be entering student rooms/apartments during the break for the following reasons: (1) to ensure that windows are locked and all electrical equipment is unplugged (except refrigerators in apartments); (2) to complete work orders turned in to the University prior to semester break; and (3) in an emergency (e.g., broken water pipe, heating failure, fire). If any policy violations are found, they will be addressed.

Montag Center

The Montag Center will be closed for Semester Break at noon on Sunday, December 19 and will reopen Monday, January 16, 2012 at 8:00 am. The Convenience Store will close at 5:00 pm on December 17th and reopen on January 16 at 9:00 am.

Campus Office Hours over Break

All campus offices are closed Friday, December 23, 2011 through Friday, December 30, 2011. Offices will reopen on Monday, January 2, 2012 at 8:00 am. Selected offices are open Saturday, January 14 and Sunday, January 15. Service Center hours are 12 noon - 5 pm both days.

Closing Check List For Students Moving Out

  • Clean and vacuum your room/suite/apartment. Look for the cleaning poster for tips on cleaning private bathrooms and apartment kitchens.
  • Pack and make arrangements to store belongings you are leaving in Salem before the closing deadline.
  • Return all room/suite/apartment items to their original place/condition.
  • Schedule a check-out time with your Residence Life staff member.
  • Take your trash out to the dumpster.
  • Check-out with your Residence Life staff member.
  • Return your keys to your Residence Life staff member.
  • If you are leaving the University, return your mail box key to the Mail Center and provide a forwarding address.
